The purpose of this role is to ensure best practice in admissions and academic policy procedures and processes in order to offer current and prospective pupils and their families an outstanding experience of TJSS as well as take a key role in marketing the school and fostering good relationships with the broader community, including alumni. 

The post holder will be responsible for promoting, developing, overseeing, and managing the admissions process for all pupils from Nursery, Junior and Senior School, including international applicants, from initial enquiry to the starting date of a new pupil. In addition, the post holder also supports and assists in the marketing of TJSS to prospective pupils and their families and provides data and otherwise contributes to the strategic planning for the School.

The post holder will report and work closely with, and provide relevant information to, the Principal and Headteachers.

The post holder will be responsible for overseeing and managing the complete admissions cycle from start to finish for all points of entry, ensuring an efficient, warm and welcoming professional service for parents, pupils, feeder Schools and the wider public.  Tasks will typically include the following, although the list is not exhaustive and subject to review:

Enquiries

  • To provide an approachable and welcoming response to enquiries concerning pupil admissions.
  • To oversee the admissions process from enquiries through to prospectus, visits, assessments, offers and enrolment including all general questions, administration and school communications: building up a good relationship with families.
  • Build and maintain for as long as necessary an inclusive relationship between the School and prospective families, identifying any point of interest, ensuring that swift communication is employed.  
  • Provide information about the school and its mission to everybody who enquires, either by phone, email or face-to-face.
  • Log all enquiries on the School’s management information system
  • Maintain effective tracking of new enquiries/applicants through each stage of the admission process: enquiry, pre-application, application, decision (fee payment).  

Visits

  •  Manage visit and tour arrangements for prospective pupils and families, working with pupils where appropriate.
  • Greet families when they visit.
  • Ensure relevant information about visiting families is made available to the Head prior to their visit.
  • Follow up all visits by appropriate methods of communication.

Applications

  • Provide leadership and vision to ensure that the School’s admissions practices and procedures are up to date, compliant with all relevant regulations and effectively implemented and that they are seen as dynamic systems that are continually kept under active review.
  • Assessing applications according to our eligibility criteria
  • Keep all documentation up to date in a searchable and auditable form.
  • Manage and develop a systematic follow up process for all admissions contacts and seek opportunities for feedback during the processes.
  • Responding to information requests.
  • Manage the Entrance Examination day in the Senior School and organise and administer the Senior School Examinations individually throughout the year, as needed.
  • Ensure all assessment information is recorded in the school’s information management system.
  • Organize Junior School assessments throughout the year.
  • Undertake analysis of entrance examinations/test results as required**.**
  • Organise events such as, scholarship assessment days, new Pupil Afternoon and new Parents’ Evenings. Ensure that parents of new pupils receive relevant documentation; assist with form allocation and prepare pupil induction materials as required; and provide relevant teaching staff with the required documentation relating to new pupils and their induction.
  • Liaise with the accounts department regarding applications**.** 

Marketing, Measurement, Analysis and Forecasting

  •  Set and monitor admissions against intake targets and recommend actions that will enable targets to be met.
  • Work closely with the Principal and Headteacher regarding Alumni events in order to help develop effective relationships with former pupils.
  • Provide regular reports and presentations to the Principal and Board of Governors.
  • Provide relevant content for school publications and website.
  • Coordinate school wide approaches to ensure effective marketing and recruitment campaigns.
  • In conjunction with the Data Manager, manage and analyse all elements of the admissions process including enquiries, visits, registrations, offers, deposits, starters and leavers on the School’s information management system and produce reports to present to the Principal and Board of Governors.
  • To ensure that year lists are accurate and up-to-date at the beginning of each academic year and throughout the year as change occurs with the support of the Data Manager.
  • To ensure that the Finance department is made aware of all changes to the School Roll as joiners and leavers are confirmed.

Legislative and regulatory requirements:

  • Operate the admissions process in compliance with the appropriate legal and regulatory requirements.  
  • Keep abreast of changes in the legal and regulatory environment within which the School operates its admissions process, advising the Principal of changes and any compliance issues that may occur.  
  • Keeping up to date student lists and submitting them to regulatory authorities when needed. 

Safeguarding Children

The School Registrar will be required to demonstrate the commitment to promoting and safeguarding the welfare of children and young people in the school.

During the course of employment the School Registrar will have access to information of a confidential nature. Under no circumstances may this information be divulged or passed on to any unauthorised person or organisation.

  • Excellent organizational and multitasking skills
  • Strong interpersonal and communication skills
  • Skill in the use of computerized systems and databases.
  • Excellent knowledge of English language both verbal and written
  • Ability to develop and deliver presentations.
  • Ability to design and write promotional material.
  • Ability to evaluate student transcripts and/or records.
  • Ability to gather data, compile information, and prepare reports.
  • Knowledge of student recruitment and retention issues will be considered as an advantage
  • A good understanding of the principles of sales and marketing
  • Leadership over enquiries, visits and admissions
  • Be an effective problem solver and demonstrate discretion and tact
  • Work in a proactive approach, have personal integrity and the drive to do what is best for the pupils and the School
  • Honest, conscientious, hard-working and responsible individual
  • Be able to communicate effectively within a team

💼 Remuneration & Benefits

This position is offered on a fixed-term contract to cover maternity leave.

We offer a competitive salary package (Administration Scale 1 at €1,042.89 per month plus COLA), commensurate with qualifications and experience.
